From quote request to steady-state service — what happens and when.
A commercial cleaning contract that fails in the first 90 days almost always fails for the same reason: the scope was not specific enough, or the crew that did the walkthrough was not the crew that showed up. We have been doing this for 22 years and we have built our onboarding process around those two failure modes.
A supervisor — not a salesperson — walks your facility with you. We document square footage by zone, floor types, restroom locations and fixture count, high-touch surfaces, breakroom equipment, access points, and any areas that require special handling. We also confirm after-hours access protocol and alarm or badge requirements.
You receive a written scope of work and a fixed quote before we schedule anything. The scope lists every task, frequency, responsible party for consumables, and excluded areas. If the scope changes, the quote changes — in writing, before the work changes.
We assign a crew to your account. You receive the name and direct contact of the crew supervisor before the first clean. That person is your operational contact for the life of the contract — not a general dispatch line.
The first visit typically runs longer than a maintenance clean. We are establishing baselines — floor condition, restroom supply levels, areas that need extra attention before steady-state maintenance takes over. We do not charge extra for the initial deep pass; it is part of the contract start.
After 30 days of service, your supervisor schedules a brief walkthrough with you. We review the scope against what has been delivered, address any gaps, and confirm that the service is meeting your expectations. Issues identified at the 30-day mark are resolved before they become a pattern.
Service issues raised during business hours are acknowledged the same day. After-hours messages are returned by 9:00am the next business morning. We do not route service calls through a general queue — your supervisor's contact is how you reach the person responsible for your building.
